The short version
Integrated facilities management, or FM, is the coordinated delivery of everything that keeps a building safe, compliant and operational. It splits into hard FM, the physical systems and structure, and soft FM, the services that keep a place clean, secure and pleasant to use. Integrated FM puts both under one accountable partner.
Hard FM
Hard FM covers the building's physical systems: mechanical and electrical, HVAC, boilers and pumps, lifts, fire systems, electrical safety and the building fabric itself, from roofing to glazing. Most of it is governed by statutory inspection and planned maintenance schedules, because the cost of failure is high.
Soft FM
Soft FM covers the services people notice day to day: cleaning, waste, grounds and landscaping, pest control, window cleaning, security and front-of-house. It is less regulated than hard FM but has a large effect on how a building feels and functions.
Planned versus reactive
Good FM is mostly planned. Planned preventative maintenance, or PPM, services equipment on a schedule so it does not fail. Reactive maintenance handles the leaks, breakdowns and emergencies that still happen, ideally with a fast, accountable response. A strong provider keeps the reactive load low by doing the planned work properly.
